Privacy Policy

Syndicates Software Solutions ("Syndicates", "we", "us", or "our") provides a digital syndicate and fund management platform (the "Service") through our website (syndicates.co.in) and mobile applications. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

1. Who this applies to

The Service is used by syndicate administrators and syndicate members to manage member records, monthly contributions, loans, fines, and related financial activity within a private syndicate group. It is not directed at children, and is not intended for use by anyone under 18 years of age.

2. Information we collect

2.1 Account and profile information

  • Login email address and password (stored as a salted hash, never in plain text)
  • Member full name, phone number, email address, member code, and joining date
  • Your role within a syndicate (Super Admin, Syndicate Admin, or Member)

2.2 Financial and syndicate records

  • Monthly contributions, dues, and payment history
  • Loan requests, loan repayments, and repayment submissions
  • Fines, expenses, and additional collections recorded by your syndicate
  • Payment proof documents (e.g. receipt images or screenshots) you upload, along with the claimed amount, payment mode, and reference number

2.3 Verification and communications data

  • One-time passcodes (OTPs) sent to your phone number to verify your identity for certain actions
  • Push-notification device tokens, device platform (Android/iOS), and notification preferences, used to deliver in-app alerts (e.g. payment reminders, approval updates) via Firebase Cloud Messaging

2.4 Registration enquiries

If you submit a request to set up a new syndicate on the platform, we collect the syndicate name, contact person name, mobile number, email address, city, state, and any additional notes you provide, in order to review and respond to your request.

2.5 Audit and security logs

We keep records of key actions taken within a syndicate (such as approvals, edits, and submissions), including who performed the action and when, to maintain accountability and help syndicate admins resolve disputes.

3. How we use your information

  • To operate core features: member management, contribution tracking, loans, fines, and reporting
  • To verify your identity and authenticate you (login and OTP verification)
  • To send you service-related notifications, such as payment reminders and status updates
  • To maintain audit trails for financial accountability within your syndicate
  • To respond to syndicate registration and support enquiries
  • To maintain the security and integrity of the Service

We do not use your information for advertising, and we do not sell your personal information to third parties.

4. Who can see your information

Financial and member data you or your syndicate admin enters is visible only within your own syndicate, to users with the appropriate role (e.g. a Syndicate Admin can see records for members of that syndicate; a Member can see their own records). Data is logically separated between syndicates and is not shared across unrelated syndicates.

5. Third-party service providers

We use Firebase Cloud Messaging (Google) solely to deliver push notifications to the mobile app. We do not use third-party advertising or analytics SDKs, and our mobile app does not track you across other companies' apps or websites.

6. Data storage and security

Your data is stored on secured servers and protected using industry-standard measures, including password hashing, role-based access control, and encrypted transport (HTTPS). On mobile devices, session credentials are stored using the platform's secure keychain storage. On the web, your session token is stored in your browser's local storage and is cleared when you log out.

7. Data retention

We retain your account and financial records for as long as your syndicate remains active on the platform, and for a reasonable period afterward as needed to comply with legal obligations, resolve disputes, and maintain accurate financial history. You may request deletion of your personal information as described in Section 8, subject to any records your syndicate is legally required to retain.

8. Your rights and choices

You may contact us to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your account and associated personal information
  • Withdraw consent for push notifications (via your device or app notification settings)

To exercise these rights, contact us using the details in Section 11.

9. Children's privacy

The Service is not intended for use by individuals under the age of 18, and we do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date at the top of this page. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
